Photo & Video Policy

Purpose

LaunchWorks, Inc. (the “Organization”) may capture photographs, video, audio recordings, livestreams, or other media during programs, events, meetings, workshops, competitions, gatherings, and related activities for educational, promotional, marketing, fundraising, documentation, and organizational purposes.

This Photo and Video Policy is intended to provide notice regarding the Organization’s collection and use of such media and to establish expectations for participants, volunteers, directors, officers, mentors, partners, guests, and attendees.

Scope

This Policy applies to all individuals participating in, attending, volunteering for, or otherwise present at Organization-related activities, whether conducted in person or virtually.

Consent and Participation

By registering for, participating in, volunteering for, attending, or being present at an Organization activity, individuals acknowledge and consent to the capture and use of photographs, video, audio recordings, livestreams, or other media that may include their likeness, image, voice, name, statements, or participation.

For individuals under the age of 18, consent is provided by the parent or legal guardian through registration, participation forms, event sign-in, or attendance at Organization activities.

Authorized Uses

Media captured by the Organization may be used for legitimate organizational purposes, including but not limited to:

• Marketing and promotional materials

• Social media, websites, and newsletters

• Event recaps and educational content

• Grant applications, sponsorships, and fundraising efforts

• Media coverage and public relations

• Historical and organizational documentation

Such media may be edited, reproduced, published, displayed, distributed, or otherwise used by the Organization without compensation or additional approval.

Respectful Use

The Organization will make reasonable efforts to use photographs and video in a respectful and appropriate manner consistent with its mission and values. The Organization will not intentionally use media in a misleading, defamatory, or inappropriate manner.

Requests and Concerns

Individuals with questions or concerns regarding the use of photographs or video are encouraged to contact the Executive Director or a member of the Board of Directors. While the Organization cannot guarantee removal of previously published or distributed materials, reasonable efforts may be made to address future use requests where practical.

Third-Party Media

The Organization is not responsible for photographs, video, or media independently captured, posted, or distributed by attendees, participants, sponsors, media organizations, or other third parties during public or community activities.

Administration

The Board of Directors is responsible for oversight of this Photo and Video Policy and may amend it as needed to reflect best practices and organizational needs.
